Officers' Duties

President
  • Preside at all meetings of the Chapter’s general membership, the Chapter’s Executive Committee, the Chapter's Leadership Council, and all Chapter-wide events. When unavailable, appoint an alternate to serve in this capacity. 

  • Serve as the chief spokesperson for the Chapter

  • Ensure that the Chapter has an active program of meetings and projects during each calendar year

  • Ensure that the Chapter’s finances are properly planned and managed.   

  • Maintain a strong working relationship with the ASA national office

  • Ensure that the Chapter meets its obligations to the ASA Council of Chapters (COC), e.g., filing the Annual Report of Chapter activities to the COC Governing Board (COCGB) by the Chapter Representative

  • Appoint a Chapter Newsletter Editor in July of each even numbered year

  • Appoint a Chapter Web Master in July of each even numbered year.

  • Maintain the Chapter’s record of membership of all Chapter committees

  • Serve as an ex-officio member of all Chapter-wide committees

  • Sign all business agreements that have been approved by the Chapter’s Executive Committee

  • In January of each year, prepare an Annual State of the Chapter Report and submit it to the Chapter’s Executive Committee

Immediate Past President
  • Serve as an advisor to the Chapter President
  • Serve as a member of the Chapter's Executive Committee

  • Serve as a member of the Chapter's Leadership Council

  • Perform such other duties as may be assigned by the President or the Executive Committee

 Secretary

  • Create and distribute minutes for

    • Chapter Executive Committee Meetings

    • Chapter Leadership Council Meetings

  • Distribute Chapter newsletters, election reports, event announcements and, as requested by the President, other information/materials (e.g., ASA Chapter Chatter, job advertisement) of relevance or interest to Chapter members

  • Submit required or pertinent information to ASA 

    • the annual Report on Chapter Status (in collaboration with the Chapter Representative)

    • Chapter Election Results

    • Others as requested by the Executive Committee

  • Support logistical planning and ensure smooth activities of all Chapter-organized events; including

    • management of Chapter annual calendar

    • reservation of meeting/event facilities

    • announcement of meeting/events via emails, Meetup, and other media as appropriately

  • Perform such other duties as may be assigned by the President or the Executive Committee

  • Serve as a member of the Chapter’s Executive Committee

  • Attend the Chapter's Leadership Council meetings

Treasurer    

  • Manage the financial planning and budgeting

  • Develop and implement an annual fundraising plan to meet the financial goal

  • Maintain Chapter financial records and a balanced accounting book

  • Manage the Chapter’s checking account, PayPal account, and Meetup account

    • Receive and deposit all chapter incomes in the Chapter’s checking account

    • Serve as the Organizer of the Meetup group and pay subscription fee

    • Monitor PayPal and Meetup accounts and transfer balance to checking account

  • Provide funding for Chapter events to event leader/planners

  • Make checks for authorized payments to speakers and vendors for meetings and other events

  • Inform the VP for Membership Affairs when receiving membership dues for new or renewed members

  • Prepare reports of financial activity for every Executive Committee meeting and every Leadership Council meeting

  • Prepare a report of financial activity for the Chapter’s annual business meeting

  • Provide records for any audits requested by the Executive Committee

  • File tax returns according to federal and state tax codes as needed

  • Perform such other duties as may be assigned by the President or Executive Committee

  • Serve as a member of the Chapter’s Executive Committee

  • Attend the Chapter's Leadership Council meetings

Vice-President for Academic Affairs

  • Develop and maintain functional ties to academic statistics departments in the OCLB area

  • Develop and maintain functional ties to other academic departments in the OCLB area that are engaged in teaching statistics

  • Promote Chapter membership among academic statisticians in the OCLB area

  • Create and lead the planning and implementation of Chapter events of common interest to academic statisticians

  • Lead the planning, development, & execution of the Annual High School Poster Competition

    • In collaboration with the Chair of the Statistical Education Section to recruit high school teachers for participation of the event

    • Create and submit a report of the event to the Executive Committee

  • Serve as a member of the Chapter’s Executive Committee

  • Serve as a member of the Chapter’s Leadership Council

Vice-President for Chapter Membership

  • Maintain a current, complete LOCAL membership list with contact information (name, affiliate, phones, and email) and history of dues payment of all members. 
    • Note: National membership information is registered at ASA system

    • Maintain the Chapter records of previous members

    • Monitor Chapter Google email account for local member newly added or renewed via PayPal.

  • Plan and execute an annual Chapter membership drive

    • Seek ASA approval for funding of Membership Initiative program as appropriately

  • Solicit member feedback and forward it to the Executive Committee and the Leadership Council

    • Develop and collect feedback forms from participants of Chapter-organized events

    • Conduct exit survey of Chapter members who do not renew their membership

  • Provide the membership data and business as needed:

    • in the ASA-required annual report

    • at the Chapter’s Annual Business Meeting

    • at the Chapter's Executive Committee and the Leadership Council meetings

  • Send “Welcome” email to new Chapter members

  • Send reminders to local Chapter members when it is time to pay their Chapter dues on a monthly basis and send a second notice if they haven’t paid their dues by the end of the “grace period”

  • Select the members of a Chapter membership committee and serve as its Chair

  • Direct member outreach activities including maintenance of social networking media for members and non-members (such as Meetup OCLB ASA group members)

  • Arrange for a staffed Chapter membership table to be present at all Chapter events

  • Collect registration forms for all Chapter-wide events and provide attendance forecasts to event manager(s) prior to the event

  • Perform such other duties as may be assigned by the Chapter President

  • Serve as a member of the Chapter’s Executive Committee

  • Serve as a member of the Chapter’s Leadership Council

Vice-President for Professional Affairs

  • Develop and maintain functional ties to professional statistics groups and individuals in the OCLB area
  • Promote Chapter membership among non-academic statisticians in the OCLB area

  • Lead the planning, development, & execution of the annual Chapter Careers Day

    • Recruit exhibitors and keynote speaker

    • Create and submit a report of the event to the Executive Committee

  • Create and lead the planning and implementation of Chapter events of common interest to non-academic professional statisticians

  • Serve as a member of the Chapter’s Executive Committee

  • Serve as a member of the Chapter’s Leadership Council

Chapter Representative to the Council of Chapters

  • Serve as the Chapter's Representative to the Association’s Council of Chapters (COC)
  • Act as a primary liaison between the OCLB Chapter and the National Office of the ASA

  • Assess and coordinate the application, planning, and execution of ASA COC Traveling Course

  • Represent the Chapter at the Annual Meeting of the Council of Chapters Governing Board (COCGB) at the Joint Statistical Meetings (JSM)

    • If unable to attend, ensure that an alternate representative is designated to attend

  • Summarize Chapter activities for submission to the ASA National Office, including ASA Chapter Chatter

  • Complete and submit the Annual Report of Chapter Activities

  • Serve as a member of the Chapter’s Executive Committee

  • Serve as a member of the Chapter’s Executive Committee

Chair of the Chapter Section on Statistical Education 
  • Preside at meetings of the Chapter’s Section on Statistical Education.
  • In collaboration with the VP for Academic Affairs for the planning and implementation of the annual High School AP Statistics Posters Competition,

    • Maintain an email list of high school teachers of statistics in the OCLB area

    • Recruit and coordinate with local high school statistics teachers and their students to participate in the event

  • Assess the need and interest of OCLB area statistical educators to determine how the chapter may be more useful resource for

    • four-year university teachers of statistics

    • community college teachers of statistics

    • high school teachers of Statistics

  • Plan meeting(s) of section members as part of chapter gatherings and/or separately

  • Designate committees or individuals to carry out functions of the Section

  • Prepare an annual Section budget for the Chapter’s Executive Committee

  • Prepare an annual report for the Chapter's Executive Committee on the activities of the Section

  • Attend the Chapter's Executive Committee meetings 

  • Attend the Chapter's Leadership Council meetings

Chair of the Nominations and Elections Committee
  • Preside at all meetings of the Chapter’s Nominations and Elections Committee (NEC).
  • Represent NEC and serve as a member of the Chapter's Executive Committee.

  • Nominate appropriate candidates for the Chapter's officers and conduct election according to the Constitution during the first quarter of each calendar year.

  • Hold member voting events as needed; e.g., on the Constitution's amendment according to the Constitution.  

  • Ensure that the NEC self-appoints a new Chair for one-year term of chairmanship starting in July of each year

  • Create an announcement of election outcomes

  • Attend Chapter’s Executive Committee meetings

  • Attend Chapter’s Leadership Council meetings

Newsletter Editor

  • Publish Chapter Newsletters at minimum on a quarterly basis.
  • Collect event report and photos from the leader of each event for newsletter.

Webmaster

  • Maintain Chapter website and update contents on a regular basis.
